Job Description - Summary of Responsibilities
This position provides administrative support to the firm's owner, manages workflow through the office, as well as interacting with the firm's clients by telephone and in person.
Principal responsibilities
• See that all client-related paperwork is completed exactly as needed, and submitted electronically or in paper form within 24 hours.
Provide direct administrative support to firm's disorganized but occasionally brilliant owner
• Use excellent customer service skills to build client relationships.
• Electronically file client statements, correspondence, and agreements according to regulatory requirements.
• Track pending business paperwork using state-of-the-art digital systems.
• Update CRM system.
• Make recommendations to systematize and improve office functioning
• Maintain inventory of office supplies and materials
• Oversee maintenance of client files and database records
• Help in preparation for client meetings
• Anticipate owner's needs and handle them proactively
• Answer phones in a professional and courteous manner. Handle All Client Service Issues within capacity. Refer issues to firm's owner as appropriate
• Draft letters, as directed by firm's owner
Maintain owner's calendar (both business and personal), as well as arrange travel plans, schedule home repairs, occasional personal errands for owner.

Required knowledge/skills/competencies
• Five years experience in client service
• Three years experience in a financially services position resulting in working knowledge of account registrations types such as Individual, Joint, IRA, Community Property, etc., as well as knowledge of brokerage cashiering, account transfers, etc.
• Thorough knowledge of Microsoft office programs -- MS Word, Excel, Outlook
• Complete comfort handling digital files and records, and the use of digital systems for completion of work and handling workflow.

• Excellent organizational and time management skills
• Ability to effectively prioritize workload and meet deadlines

•Prospecting, networking, and building relationships with individuals in order to establish and develop client base
•Receiving inbound calls for quotes and convert to sales
•Make daily outbound calls to generate new business
Make outbound calls to follow up and close previously quoted business
•Conduct face-to-face and phone appointments
•Meet and exceed production goals
Job Requirements
