SUMMARY: Under limited supervision, perform a variety of general to complex clerical accounting functions for assigned department. Employees in this job classification compile and verify financial data, reconcile accounts and perform related duties. This job classification requires advanced knowledge of clerical accounting practices and procedures, analytical ability, attention to detail and the ability to independently perform routine to complex clerical accounting functions in an accurate and timely manner. This position will have responsibilities that may include any one or several of the essential job functions listed below.
RESPONSIBILITIES:
• Perform detailed analysis and reconciliation of accounts. Understand the flow and workings of the account. Understanding both sides of entries and the impact. No generalizations, all balance are validated, variances are identified and documented.
• Work with other departments such as advertising and payroll to effectively analyze and reconcile assigned accounts
• Understand PeopleSoft and the financial services modules, general ledger, accounts receivable, accounts payable, fringes to identify and correct problems that arise.
• Effectively communicate variances to other departments to resolve balances.
• Understand the flow of each interface that is received and in order to validate, and trouble shoot.
• Create and develop ad hoc queries/reports, validate allocations, and process reoccurring journals
• Assist with special projects such as help answer and field questions related to fringes and other areas of responsibilities
• Process and submit unclaimed property to the State annually

Requirement:
Reliable transportation. The receptionist is responsible for picking up the U.S.P.S. mail daily, which is a three-mile round trip drive. Mileage reimbursement is factored into the compensation above. The receptionist is also responsible for ordering and picking up lunch for approximately 75 meetings a year (we have three-week training sessions five times per year, plus other various meetings). In lieu of mileage reimbursement for lunch pick-ups, the receptionist receives a free lunch that day.
Job Description:
This position is part of a fast-paced three-person team called "Network Office Resource Center," supporting a 13-person agency staff, 70 full-time financial representatives and 50 associate financial representatives and assistants throughout Northern California. This person must be comfortable with teamwork and cross-training environments but still be able to self-manage by initiating and completing projects as an individual. This is a highly professional atmosphere in which accountability is monitored closely. The receptionist is responsible for the following tasks (but is not limited to):
Reception
- greet visitors and provide beverages
- answer multi-line phones
- coordinate incoming and outgoing mail and deliveries
- organization of reception area, conference and break rooms
Administrative Support
- maintain agency directories
- produce and distribute production reports and bulletins
- support Office Manager and Director of Supervision with various tasks
Agency Support
- serve as back-up to New Business Processor
precheck insurance applications
data entry of insurance applications
communicate with financial representatives when applications are missing information
track delivery of insurance policies
report delivery of insurance policies to corporate office
- serve as back-up to Investment Operations Assistant
precheck new account applications
data entry of new account applications
data entry to place trades
Required Qualifications:
Receptionist and administrative experience (2 -- 5+ years)
Professional attitude
Professional business attire (suit jacket, slacks or skirt, ties, etc.)
Proficient in Microsoft Word, Excel and Outlook (top candidates will be tested)
Comfortable with learning new company-specific computer software
