Executive Assistant to Managing Partner / Financial Services
Overview: The firm is a Registered Investment Advisor servicing high-net worth individuals, families, institutions, foundations and retirement plans. The firm is looking for someone to provide comprehensive senior level executive administrative support for two executives and provide office management for a growing office. This position will oversee and coordinate heavy calendar management, serve as point of contact for internal and external contacts, handle both business and some personal projects for busy Executives.

Functions:
• Coordinate and manage day to day administrative activities including scheduling appointments, coordinating meetings, calendar management, travel arrangements
• Logistical coordination of meetings
Management of office and related vendors and infrastructure
• Organizing and maintaining documents
• Maintain contact database
• Responsible for Travel and Expense reports
• Personal requests ad hoc
• Responding to e-mails if needed Accountabilities
• Assures smooth, consistent and effective operation of Executive's office
• Competent and proactive administrative support with warm, welcoming and professional demeanor
• High level of confidentiality and discretion
• Represents company by demonstrating sound judgment and maturityQualifications:
• 7-10 years experience supporting C-level executives
• Proficiency in Microsoft Office
Back Office Support and knowledge of Fidelity or Schwab RIA platforms preferred
• Exceptional written and oral communication skills
• Accuracy in composition and proofreading
• Prompt, accurate and attentive to detail; sensitive to confidential information
• Ability to prioritize and multitask
• Excellent organizational skills
